Automatically Sorting Documents
Stax.ai uses "bots" (Artificial Intelligence software) to learn how you sort your documents and replicate what you do. In order to set up the bots, you need to create some training data for the bots.
First, create your desired stacks. Visit the Create a New Stack to learn how.
There are two ways you can create stacks - from a pre-trained model or from scratch. Some common pre-trained stack models are available for which you don't need any example documents. These are stacks like Billing, Resumes, Medical Records, etc. Using pre-trained models allow you to get started the fastest!
If there are no pre-trained models available that match how you sort your documents, you can still create your stacks from scratch. If you create them from scratch, make sure you upload at least 5 to 10 documents into each stack for the bots to learn from. The more the better! The bots get much better when there are more documents - reaching 99%+ sorting accuracy with 50 documents per stack.
One you created your stacks and added example documents, go into the stacks and click on Retrain Classifier under Actions on the right side for each stack.
Normally, the Stax.ai bots train automatically in the middle of the night when the workload is minimal so you don't have to click on Retrain Classifier each time.
Make sure you follow your checklist to connect an email account (Manage Team Settings - Email) so Stax.ai can start receiving your emails for you. You can also setup an electronic fax account through Manage Team Settings - Faxing if you'd like.
Once email and/or fax is/are set up, Stax.ai will start collecting your faxes and email attachments, and they will automatically get sorted into your stacks!
If some are unclassified (don't get sorted), or get sorted incorrectly, you can move them (drag them, or click on Move Document under Actions on the side bar) into the correct stack. As more documents come in, the bots will get better and soon do almost all the sorting for you!
